About the Role
Medexa Medical Group is seeking an organized and proactive Clinical Operations & Administrative Coordinator to support daily clinic and business operations. This role helps coordinate patient care, administrative workflows, scheduling, billing support, and team communication while ensuring HIPAA compliance.
Key Responsibilities
Operations & Administration
- Support daily office and clinic operations
- Manage scheduling, emails, calls, records, and documentation
- Coordinate workflows and internal communications
- Assist leadership with reporting and staff coordination
Clinical Coordination
- Schedule patient visits and provider assignments
- Support patient intake and EMR/EHR documentation
- Coordinate referrals, authorizations, medical records, and provider orders
- Communicate with pharmacies, labs, imaging centers, and care teams
Billing & Compliance
- Assist with CPT/ICD-10 coding and billing accuracy
- Support charge capture and documentation compliance
- Maintain HIPAA standards and audit readiness
Team Support
- Facilitate communication between departments
- Participate in staff meetings and workflow improvements
- Assist with inventory tracking and supply coordination
Requirements / Qualifications
- ∙High school diploma or equivalent required; associate or bachelor’s degree in healthcare
- administration, business, or related field preferred.
- ∙Minimum 1–2 years of experience in a medical office, clinic operations, medical assistant, intake,
- scheduling, or patient care coordination role.
- ∙Strong understanding of clinic workflow, patient intake, appointment scheduling, referrals, orders,
- medication refill coordination, and EMR/EHR documentation.
- ∙Experience using EMR/EHR systems; DrChrono, NextGen, Wound Expert, or similar systems
- preferred.
- ∙Basic knowledge of medical terminology, CPT/ICD-10 codes, billing support, and insurance
- documentation preferred.
- ∙Strong communication skills to coordinate with providers, patients, pharmacies, labs, imaging
- centers, home health, hospice, and internal teams.
- ∙Ability to manage emails, faxes, phone calls, records, trackers, reports, and daily operational follow-
- ups.
- ∙Proficient with Microsoft Office, Google Workspace, Teams/Zoom, email/calendar systems, and
- document management tools.
- ∙Detail-oriented, organized, and able to multitask in a fast-paced healthcare environment.
- ∙Must maintain HIPAA compliance and protect patient confidentiality at all times.
Compensation: $20.00 - $25.00 per hour
